At ORA Dental, we take the privacy of your personal and health information seriously. This policy explains what information we collect, why we collect it, how we use and protect it, and your rights in relation to it.

Who we are

ORA Dental is a general and family dental practice operated by LMS Solutions Limited (NZBN 9429053283122), located at Unit 10/1 Henry Tayler Rise, Wainui 0932, Auckland. In this policy, "we", "us", and "our" refer to ORA Dental.

What information we collect

To provide you with safe, appropriate dental care, we may collect:

  • Identifying and contact details: Your name, date of birth, address, phone number, and email address

  • Health information: Your medical and dental history, medications, allergies, and information relevant to your treatment

  • Clinical records: Clinical notes, x-rays, digital scans, study models, and clinical photographs taken as part of your care

  • Financial and account information: Billing details, payment records, and ACC or insurance claim details

  • Communication records: Appointment history and correspondence with the practice

We collect only the information we reasonably need to provide your care and run the practice.

How we collect it

Wherever possible, we collect information directly from you, for example, through your new patient form, during consultations, and in the course of your treatment. In some cases, and with your authorisation, we may collect information from others, such as your doctor, a previous dental practice, or ACC.

Our website and cookies

Our website may use cookies and similar technologies, including tools such as Google Analytics and Google Ads, to help us understand how visitors use our site and to measure the effectiveness of our marketing. This may include information such as your general location, device type, and browsing behaviour on our site. This information is not linked to your health or patient records.

If you make an online booking through our website, this is handled by Principle, our practice management system, and is subject to the same privacy protections described in this policy.

You can control or disable cookies through your browser settings. Please note that some parts of our website may not function as intended if cookies are disabled.

Why we collect and use it

We use your information to:

  • Provide and plan your dental care and treatment

  • Communicate with you about appointments, reminders, and your treatment

  • Manage your account, billing, and any ACC or insurance claims

  • Meet our professional, legal, and regulatory obligations

  • Improve the quality and safety of the care we provide

We will only use your information for the purpose for which it was collected, unless you authorise another use or an exception under the HIPC applies.

When we share your information

We treat your information as confidential. We may share it in limited circumstances, including:

  • With ACC, where a claim is lodged on your behalf

  • With other treating practitioners (for example, a specialist or your GP) where it is clinically necessary for your care

  • With your insurer, where you have authorised this

  • Where required or permitted by law, or to prevent a serious threat to someone's health or safety

We use Principle, a secure cloud-based practice management system, to store and manage your records. Where information is held or processed by a third-party provider on our behalf, we remain responsible for keeping it secure and require that it is protected to the standards of the Privacy Act 2020 and HIPC. Clinical photographs

Clinical photographs are taken routinely as part of standard dental care — at your first visit and at key points in your treatment. These are stored securely in your patient record and are not used for marketing purposes without your separate written consent. If you prefer not to have clinical photographs taken, please let us know.

How we protect your information

We take reasonable steps to keep your information safe, including secure electronic systems, access controls so staff only see information they need, encrypted data storage and backup, and staff training on privacy obligations.

How long we keep it

We are required to retain patient health records for a minimum of 10 years from the day following the last date on which care was provided, in line with the Health (Retention of Health Information) Regulations 1996. We may retain records for longer where they may be needed for your future care.

Your rights

Under the Privacy Act 2020 and the HIPC, you have the right to:

  • Access the personal and health information we hold about you

  • Request a correction if you believe any information is inaccurate

  • Request a copy or transfer of your records to yourself or another practitioner

To make a request, please contact us using the details below. In some limited circumstances the law allows us to withhold certain information, and we will explain our reasons if this applies.

Making a complaint

If you have any concerns about how we have handled your information, please contact us first — we'll do our best to put things right. You also have the right to complain to the Office of the Privacy Commissioner at privacy.org.nz.
